Retrieve lets you consolidate all of your email in one place. As more and more of us keep multiple email accounts, it is both time-saving and easier to organize your electronic communication when you have one place which allows you to get an overview. And with Runbox Mail Manager, you get the added bonus of being able to handle and redistribute all of your email exactly to your liking.

With POP email retrieval you can fetch email from other email accounts that support the POP3 protocol ( SSL is now supported). Most email servers at work places, educational institutions, and private Internet Service Providers support this protocol. You can enter as many POP servers as you like, and retrieve the email at set intervals. Runbox Mail Manager does not currently support retrieval for the IMAP protocol, but there are plans to implement it in the future.

Setting up retrieval

By filling in the name of the server, the username, and the password of an email account you use, you can retrieve all new email from that server to runbox' servers. If you are unsure of what your correct data is, please ask the responsible administrators or customer service for help.

Select whether you want to leave copies of the fetched email on the external server after retrieval - this is convenient if you want that email accessible from other clients or services as well. If you want the email to be fetched automatically at an interval, select an interval between 10 minutes and 24 hours from the drop-down menu. You can always retrieve external email manually by clicking "Retrieve POP" in the Webmail menu. Your external POP account will then be immediately queued for retrieval, and any downloaded email will be listed in your Inbox as soon as they are retrieved.

Finally, select whether you want the entry to be active. The "inactive" option is convenient if you want the settings stored but not active. Click [Save settings] to store the configurations, and a new, empty entry will appear below the one you just saved. If you want to delete an entry, check the "Delete" box to the right before clicking [Save settings].

Retrieving Hotmail/Windows Live mail

You can now retrieve your Hotmail, MSN/Windows Live email to runbox via POP3. Simply enter your data as follows:

  • Server name: pop3.live.com
  • Port number: 995
  • Use SSL: Yes
  • Username: Your FULL email address (for example jdoe@hotmail.com)
  • Password: Your normal password for said account
  • Please note that Hotmail/Windows Live doesn't allow you to check accounts via POP3 more than every 15. minutes, so don't select the 10 minute interval for such accounts. Also, using manual retrieval with no interval set will not work from the regular webmail, but only from the Beta webmail.

Retrieving Gmail (Google Mail)

Runbox now supports SSL (secure mode) for retrieving mail from other POP3 accounts, which is required by Gmail. Simply enter your data as follows:

  • Server name: pop.gmail.com
  • Port number: 995
  • Use SSL: Yes
  • Username: Your FULL email address (for example jdoe@gmail.com)
  • Password: Your normal password for said account.
  • Please note that using manual retrieval with no interval set will not work from the regular webmail, but only from the Beta webmail.

Alternately, you can have Gmail forward copies of messages to your Runbox account. Refer to Gmail Help Topic How do I forward my mail to another email account automatically?

Setting up filters on retrieved messages

To setup a filter to move messages retrieved from a specific external email account to a specific folder, use the following filter format:

  • Messages where: [ Header ] [ contains ] [ X-RMM-Trace: message from Username@Servername ] will be [ saved to folder ] [ Foldername ]

Where Username is the username specified in the Retrieve entry, Servername is the server name specified in the Retrieve entry and Foldername is the folder where the retrieved messages are to be saved.
